Privacy Statement
Japan Tobacco Inc. (hereinafter referred to as "JT ") will, in compliance with the "Personal Information Protection Act" and other relevant laws and regulations, and under this Privacy Statement, pay the closest attention in handling personal information which has been provided to JT by a natural person (hereinafter referred to as "Person") or otherwise known to JT.
1. Occasions on which JT requests personal information
JT may request a Person to provide his/her personal information on such occasions as those listed below to the extent necessary for its business. JT will never collect personal information by fraudulent or other unfair means.
- when a Person answers a questionnaire from JT related to its products or services;
- when a Person inquires of JT about its products or services;
- when a Person participates in a JT campaign, sweepstake or event related to its products or services;
- when a Person fills in a questionnaire or registration form published on JT's websites; or
- when a Person has a business relationship with JT, e.g., unincorporated tobacco retailers and leaf tobacco growers.
For clarification, JT will never collect personal information of non-adults for the purpose of tobacco product sales.
2. What personal information does JT collect?
JT may collect and maintain such personal information as that listed below, only to the extent necessary for its business.
- a Person's name;
- date of birth;
- age;
- gender;
- residential address and postal code;
- telephone number;
- e-mail address;
- occupation;
- if a Person is a smoker, name of the tobacco brand which he/she mainly smokes; and
- if a Person has a business relationship with JT, information necessary for the relevant transactions, such as details of transaction and payment.
3. Use of personal information
JT may, in an attempt to communicate information to a Person or improve its products or services, use personal information for such purposes as those listed below.
- to deliver information to a Person, via direct mail, e-mail or other means of communication, related to JT's products, services, events, sweepstakes, campaigns as well as questionnaires;
- to use as a reference for developing or improving JT's products and services;
- to deliver JT's products (in its business areas such as tobacco, pharmaceuticals and foods) to a Person and to furnish related services; and
- if a Person has a business relationship with JT, to perform transactions and to deliver notices and offers.
Should JT intend to use personal information for a purpose other than those listed above, JT will announce so in advance to the relevant Person and/or to the public. JT will not use personal information for any purpose other than the purposes mentioned above, except as required by laws and regulations.
4. Disclosure of personal information to third parties
Personal information collected from Persons will be made available to third parties only in the form of statistical data and no information that could identify a Person will be made available, except where:
- a Person has specifically given consent prior to disclosure; in connection with the joint use of personal information with JT Group companies, industry organizations, business partners, etc., a Person has given consent, or has been informed of, prior to such joint use;
- JT is required or mandated to disclose by law or regulation or by administrative or judicial body;
- it is reasonably deemed necessary to disclose such information in order to secure or defend the safety, right or property of a Person, the general public or JT;
- JT outsources its operations related to its products or services; provided that such outsourcee will only use personal information for conducting such operations;
- JT outsources its marketing-related operations such as dispatch of direct mails and e-mails and conduct of questionnaire surveys; provided that such outsourcee will only use personal information for conducting such operations; or
- JT is otherwise permitted by law or regulation.
5. Modification, correction and deletion of personal information
JT will maintain and update collected personal information as accurately as possible. Upon the request of a Person and after confirmation of his/her identity, JT will add, modify, correct or delete as to his/her personal information.
6. Strict security measures
JT will take strict security measures to prevent collected personal information from being lost, misused or falsified.
Furthermore, in the case of joint use among JT Group companies or outsourcing of its operations, JT will impose confidentiality obligations on users and managers of personal information and will properly supervise their compliance.
